PEAEMPL Form

Employee Status

This is the employment status of the employee. All employees should have a PEAEMPL status of Active even when they are on leave-without-pay, unless they are "terminated" (have ended their employment).

E-Class

The Employment Class is a two-character code which indicates certain attributes (e.g. Employee Group, Leave Category, Benefit Category) of an employment situation. E-Classes may be used to describe an employee, a position, or a job. The Employee Class on this form refers to the employee, and should be the best-fit description of the employee's overall employment activities; particularly relevant in the case of multiple jobs. If an employee only has one active job (excluding MM, LP, or TR, and excluding GA employees with an HA job in the summer only), the employee e-class and job e-class should be the same. Employees with an e-class of UA should only have active jobs with an e-class of UA.

Employee Group

This is a subcategory of E-Class and defaults based on e-class.

Benefit Category

This two-character code reflects the grouping of employment benefits which have been chosen by, or assigned to, the employee; cannot be blank. Benefit category initially defaults based on employee E-class. A value of 'TC' in this field is commonly used to indicate a pending change from a Benefits Eligible to a Non-Benefits Eligible category (or vice versa).

Home Department (COA/Org)

Home department is made up of the COA (Chart of Accounts value) and Org (Organizational unit) which 'own' the employee; this should usually match the Primary job Timesheet Organization. It controls security access to the employee record on PEALEAV and is used along with District/Division for check distribution. COA is the campus or major accounting entity for financial reporting purposes; Org indicates a subsidiary organizational unit within the COA. Org must be a valid value from the drop-down table.

  • 4 = UIS
  • 7 = Global Campus
  • 9 = University Administration

District/Division

This indicates the campus where the employee resides or is affiliated. It is used by Institutional Reporting, and by Payroll to identify Employee home campus for check distribution.

  • U = Urbana
  • C = Chicago
  • S = Springfield

Service Dates

Current Hire

This date is the first date of the current period of employment at the University without a break in service. It will change only if a person is rehired after separation from the University, if they are changing to Extra Help (E-Class of EH), or if they are changing to a status Civil Service job (E-Class of C* or D*) from any category other than Faculty or Academic Professional (E-Class of A* or B*).

Original Hire

This refers to the first date of appointment at the University. This date, once entered, will not change.

Adjusted Service

This date reflects adjustments for eligible Prior Service periods that count as credit for civil service employees' vacation rate accrual.

Seniority

This date will reflect all employment periods at the University of Illinois which are eligible for inclusion for Service Awards.

First Work Date

First Work Date is the first date that the employee is in a paid position including a lump sum job. This will be the same as the Original Hire Date unless the employee was originally hired as Unpaid, in which case it must then be updated the first time the employee is hired for a paid position and should never change again. (If an employee has only held unpaid positions, this date will remain at the default value, which is the Original Hire date.)

Last Work Date

This is the last day the person was eligible to receive pay and have benefit coverage. It will match the Personnel end date on the termination job record, but may be earlier than the PEAESCH termination date (this should be blank for active employees).


Termination Information

Termination Reason

This should reflect the official reason for the employee's termination from the University. It should be blank for active employees, but should contain a reason code for all terminated employees. Value is selected from a drop-down table.

Termination Date

Determined based on the last official employment date. This should be blank for active employees.


Leave of Absence Information

LOA Reason

For Academic employees, this is not used (LOA data is kept at the Job Level). For Civil Service employees, this should reflect the official reason for the employee's need to take the Leave of Absence.Valid value is selected from a drop-down table.

LOA Begin Date

For Academic employees, this is not used (LOA data is kept at the Job Level). For Civil Service employees, this is the first work date that the employee was on Leave status, as applicable.

LOA End Date

For Academic employees, this is not used (LOA data is kept at the Job Level). For Civil Service employees, this is the last work date that the employee was on Leave status.


U.S. Regulatory

FLSA Indicator

This indicates the method for accounting for overtime under the Federal Labor Standards Act. This value is based on the E-Class of the employee; it defaults to 'Cash' for Non-Exempt, and 'None' for Exempt employees. It may be changed but rarely should be.

Work Period

This item defaults to either 37.5 or 40.0 or None, based on employee E-Class. If the FLSA Indicator (above) defaults to 'Cash' (or 'Accrual') then this item will be either 37.5 or 40.0, depending on the specific E-Class; if the FLSA indicator is 'None', this item will also be 'None'. This is used to calculate FLSA overtime and is required by Payroll.
