Note: This is the form to be used for tracking Civil Service employee Seniority Balance information.

ID

This is the unique UIN assigned to every individual affiliated with the University and recorded in Banner. This is the field into which to enter the UIN of the employee whose record is to be displayed.

Job Progression

(Job Progression Code)

This should be the 3 or 4-character Promotion Line code for the employee's current position; it defaults based on Position Class and cannot be modified here. If changes on the employee record have occurred, this form will only update after the next Payroll Calc. This only defaults if NBAPOSN has the correct Progression code, P-class, and E-class, and NBAJOBS has the correct E-class. Beyond this form, if these do not match, pay is not affected, but Seniority hours will not update.

Seniority Accrual Balance

Position Class

This is the position class in which seniority hours are, or have been, earned. (When changed, it defaults in only after next Calc occurs.) It is not editable, but can be added via sub-form.

Sequence

Not editable.

Class Begin Date

This is the date when the employee first begins accruing seniority in this position class.

Exceptions: When titles or codes are changed, this would represent the date the change took place, though previously accrued seniority is attributed to the new title or code.

Note: This defaults in correctly if moving from one position class to another while also changing positions, but must be updated if moving from one position class to another while keeping the same position.

Earned Hours

This indicates the hours earned in a Position Class (based on earnings codes, through payroll process). Not editable. It is primarily paid hours, but can also accrue while on approved LWOP, on disability, or on FMLA.

Seniority Hours

These are hours earned and credited in the Position Class. Hours can be added or deducted manually after return from layoff or leave, or when reclassified. Manual corrections to the total are all done here; no adjustments are made to earned hours.

Adjustments Indicator

This checkbox indicates adjustments have been made; not directly editable.

Reason

Reason cannot be entered unless an actual adjustment is done; Comment cannot be entered unless Reason is entered.

Totals

This is the sum of Earned Hours; it is a calculated value, and not updatable.

Add Position Class or Seniority Hours

This sub-form is only used to add date in between Pay Calc runs, when the employee must be updated; this can only be doen if the employee already has at least some Seniority hours in one Job Progression. This is only used in re-classifications. This sub-form should only be used for hours that would not be caught by the Pay Calc running every other Tuesday.

Position Class

Position class in which seniority hours are, or have been, earned.

Job Progression Code

This is the Civil Service promotion line code.

Seniority Hours

This is the number of hours to be added or deducted in this Position Class. Hours can be added or deducted here after return from layoff or leave or when reclassified.

Adjustment Reason

This is the Reason code for the adjustment; it is table driven.
