Prior to First Day
Congratulations on your new position with the University of Illinois System Offices!
You should have received a welcome letter from System Human Resource Services with various tasks you will be required to complete. If you have any questions regarding the task list, please work with System Human Resource Services to ensure you are completing tasks in a timely manner. Below are tasks that are a priority to complete prior to your first day!
- Complete background check elink
- Complete UINew Hire forms
- If your offer letter instructed you to schedule an orientation (civil service employees in Urbana) with Illinois HR, please do so by calling 217-333-2137.
First Week
- Obtain i-Card – generally, supervisor or work mentor will escort you
- Obtain parking (UIUC Parking; UIC Parking; UIS Parking) - generally, supervisor or work mentor will escort you
- Orientation – if have not already signed up for orientations, please ensure this is done your first few days of employment.
- UI New Hire System – if new hire forms have not been completed, please do so the first few days of employment.
- Sign up for 2FA Authentication – many university systems will require a 2-factor authentication.
- Sign job description if this was not done as part of the offer letter process.
- Review My UI Info and add emergency contact.
My UI Info enables University employees to securely view and update their personal and employment information. Please be sure to add an emergency contact.
- Complete Security Compliance Form once the university netID and password have been established.
- Review time reporting requirements with your supervisor. Your manager should demonstrate how to login to the system and how to appropriately report time. Access Online Time Reporting Tool (PTR). Access Banner Self-Service for Time Sheet Entry.
First Month
- Sit down with Manager to discuss progress in training, questions or concerns about job duties and/or work expectations.
- Benefits Enrollment (if applicable)– if you have not selected benefits, you will need to do so in your first 30 days of employment.
- Determine who needs access to your calendar and determine appropriate permissions
- Attend other necessary trainings such as Banner, p-Card, t-card, etc.

Orientation
As a new employee, various orientations are offered to provide important information.
1. System Office New Employee Orientation - In your welcome letter, the System Offices New Employee Orientation was referenced as a checklist item. This is an extraordinary introduction to the history of the university, System Offices and employment at the university. If you have not already registered for the new employee orientation, please register now. Please note attendance is mandatory.
