We're delighted you've accepted a position within the University of Illinois System. We know beginning a new job can be a complex process, and we're here to facilitate your transition. On this page, you'll find:

  • Access to our UI New Hire system, which will guide you through all the forms necessary to start your job at the University of Illinois System.
  • Information about benefits, policies, transportation and campus resources available to you.

Before you begin, please make sure you have your:

 

  • UI New Hire Login ID and Password - Your hiring unit will provide this to you either in person or through a system-generated email. If you haven't received this, please check with your hiring manager or HR contact. If your password no longer works, please ask your hiring contact to reset this for you. Please note: employees with assigned NetIDs cannot use their NetID and NetID password to access UI New Hire.
  • Work history and education information. Please check with your hiring contact about what, specifically, you need to enter for your new job, as these requirements vary by department.
  • Bank information - You will need your routing and account number to set up your direct deposit (these numbers can be found on a check or bank statement).

  • UI New Hire works best on standard, up-to-date systems such as current Microsoft-supported versions of Windows and Apple OS desktops and laptops, and Apple iPads and iPhones. Android phones and tablets and other internet-enabled devices (such as e-readers) may not work for all parts of UI New Hire. If you are using an unsupported device and encounter difficulties, please try switching to a supported device before asking for assistance.
  • Please use a standard, up-to-date browser with cookies and JavaScript enabled to complete your UI New Hire Forms. Microsoft Edge and IE, Mozilla Firefox, Apple Safari, and Google Chrome all work well for UI New Hire (assuming they are being used on a supported system from above and are up-to-date versions of these browsers with cookies and JavaScript enabled). If you are completing UI New Hire on a personal computer (or a U of I computer which is not maintained by your department's technology group) and haven't recently updated your browser, you may want to do so before continuing.
  • Title IX Haven Training by EverFi is an external system that requires an active, campus-affiliated NetID and activation of your account by the University Ethics and Compliance Office - Please make sure to read the information about Title IX Training in UI New Hire; however, you will need to wait for an email sent by EverFi and the Ethics Office to begin your training on the external system (Sexual Assault Prevention Training, hosted by EverFi), which you will log into with your University NetID. If you are having trouble logging into the external Title IX Haven Training system once you receive the email, please contact the University Ethics and Compliance Office for assistance with Title IX Haven Training system issues.
  • Identity Verification Form: UI Verify is another external system that requires an active NetID - When you attempt to enroll in UI Verify using the UI New Hire Identity Verification form, UI New Hire will communicate with the UI Verify system to show you an embedded "iframe" box (in-page external content) to allow you to manage your 2FA enrollment without leaving UI New Hire. It will send your NetID to UI Verify for you, so you do not have to log in. If you are a student (undergrad or grad), you will have received your NetID as part of your student onboarding. If you are a new or returning non-student-type employee, you will either claim or have your NetID reactivated in UI New Hire before getting to these forms. If you are having trouble viewing the UI Verify box in the Identify Verification form or managing your enrollment once the box is viewable, please try back the next day. If you are still having trouble after 24 hours, please contact the UI Verify Help Desk for UI Verify system issues (please scroll to the bottom of the UI Verify page, where it says "FOR HELP", for contact information)

IMPORTANT INFORMATION REGARDING BENEFIT ELECTIONS IF YOU ARE ELIGIBLE FOR STATE BENEFITS:

The State of Illinois insurance benefits online enrollment is completed on the MyBenefits website. MyBenefits provides self-service tools to assist with enrollment in health, dental, and life insurance, flexible spending account (MCAP/DCAP) plans, and health savings account (HSA) plans.

Based on the State Department of Central Management Services' (CMS) policy, the State benefits enrollment period is 30 calendar days from your hire or benefit eligibility date.

  • New Employee: It is important to submit the My Profile form in Step 1 of UI New Hire as soon as possible. Note: Failing to complete My Profile will prevent you from accessing MyBenefits to make your benefit elections.

    Generally, three (3) business days after you complete and submit the My Profile form, you may go to MyBenefits to self-authenticate, register, review your options, and make your plan elections. You are strongly encouraged to elect to receive email communications about state benefits by checking the box in the Step 1 My Profile: Demographics. When not selecting email communications, it may take 5 to 10 days to receive state benefit information via postal mail.

  • Current Employee Now Eligible for Benefits: It is important to review and submit your demographic information in UI New Hire, as soon as possible. Note: Failing to complete My Profile will prevent you from accessing MyBenefits to make your benefit elections.

    Generally, three (3) business days after you review and submit the My Profile form, you may go to MyBenefits to self-authenticate, register, review your options, and make your plan elections. You are strongly encouraged to elect to receive email communications about state benefits by checking the box in the Step 1 My Profile: Demographics. When not selecting email communications, it may take 5 to 10 days to receive state benefit information via postal mail.

  • When making your state benefit elections on MyBenefits, once you click “Submit/Finalize”, your benefit elections will be final and unchangeable until either the next Benefit Choice period in May, or a qualifying event occurs. You will not be allowed to revise your state benefit elections, even if you are still within 30 calendar days of your benefit-eligibility date.

  • If you do not make an election to enroll, opt out or waive health and dental coverage as well as submit any required documentation* within 30 calendar days of your benefit-eligibility date you will default into the Quality Care health and dental plans without the option to insure dependents. If no action is taken, you will be defaulted.

University of Illinois Hospital and Clinics employees are required to be up to date with their COVID-19 vaccinations. You are considered up to date with vaccinations when you have followed current recommendations by the CDC, including boosters if/when applicable. An employment offer is contingent on your timely submission of proof of your vaccination being up to date. Individuals who are not able to receive the COVID-19 vaccine for medical or religious reasons may request an exemption. All other University of Illinois System employees are strongly encouraged to stay up to date with the most recent vaccination available as a barrier to serious illness.
