Total Begin Balance
This is for the balance of leave at the beginning of (a) first pay period of the calendar year for Civil Service, or (b) academic year for academic employees.
Total Accrued
This is the amount of leave earned/accrued since the beginning of the (a) first pay period of the calendar year for Civil Service, or (b) academic year for academic employees.
Total Taken
This is the amount of leave used/taken since the beginning of the (a) first pay period of the calendar year for Civil Service, or (b) academic year for academic employees.
Current available
This is calculated as “Total Begin Balance” plus “Total Accrued” minus “Total Taken”.

Date Available
Units enter here their twice-yearly reporting date for academics (i.e. 5/15/xx and 8/15/xx) as they are updating Sick Leave and Vacation usage, even if there has been none used. When an employee is leaving employment and the final leave date is being updated, this date should be updated to the date of separation. For Civil Service at UIUC, this defaults from Current Hire and is not changed.
Day or Hour
This checkbox indicates which unit of measure is used for Leave amounts; it is not editable here.
Begin Balance
This is the balance of elave at the beginning of the first pay period of the calendar year for Civil Service or the beginning of the academic year for Academic employees.
Accrued
For Academics, this is auto-populated by the monthly calc process; it is sometimes modified by HR if errors occur.
For Civil Service, this is auto-populated by the Time Entry process, except for cases where it must be manually entered by the Civil Service office.
Current Available
This is directly calculated as “Total Begin Balance” plus “Total Accrued” minus “Total Taken”. It is not editable.
Maximum Amount
This defaults from the system configuration and is not editable here.
Change Reason
The textual value here comes either from an update program or via manual entry.
